HMGT 250 - Meeting, Conference, and Event Planning


The growing field of meeting and event planning is discussed in detail. Starting with an overview of the nature of meetings and why people meet, the course will look at a variety of topics, including site selection, contract negotiating, program planning, budgeting and financial management, food and beverage arrangements, and contracted services. A review of the meeting and event planner’s job description is also provided. Assessment Level(s): ENGL 101 /ENGL 011 . Three hours each week.

Course Outcomes:
Upon completion of this course, a student will be able to:

  • Provide an overview of the current meeting, convention, and event market and the trends that are affecting this segment of the hospitality industry today.
  • Identify the varied job duties of a meeting and event planner and outline the qualifications for the job.
  • Summarize why meetings, conferences and events are held and explain what makes a successful meeting, conference or event. 
  • Identify and describe the many different types of social, religious, and celebratory events, with an emphasis on the importance of events across different cultures.
  • Identify the initial planning and budgeting steps when putting together a meeting, conference, or event.
  • Explain the steps needed to research and create a special event theme, as well as identifying how to select décor that supports the event theme while taking into consideration time, budget and logistical impact of décor elements on the overall event experience.
  • Describe the methods used to market a meeting, conference, or event.
  • Develop logistical plans for a meeting, conference, or event that will improve the client and guest experience.
  • Describe the role that food and beverage play in a meeting, conference, or event and develop a menu that meets cost, allergy, and dietary needs considerations.
  • Discuss best practices for event risk management and crisis planning.
  • Develop an event or meeting request for proposal and contract for a specific meeting or event.
  • Plan, budget, and execute an event in partnership with a local community partner or a partner within the Montgomery College institution.
